Privacy Policy

Who we are
Vera is a case management tool for self-represented individuals. We are operated as an independent software product. Questions about this policy can be directed to support@veracase.app.
What we collect
Account information: Your email address and name, provided through Clerk authentication (Google, email/password).
Case data: Documents you upload, timeline entries, evidence logs, financial information, notes, and other case-related content you enter into Vera.
Usage data: Basic analytics about how you use the product (page views, feature usage). We do not use third-party advertising trackers.
Payment information: Billing is handled entirely by Stripe. Vera does not store credit card numbers or payment details.
How we use your data
We use your data solely to provide the Vera service — storing your case file, running AI analysis, sending deadline reminders, and processing payments. We do not sell your data to third parties. We do not use your case content to train AI models, and we do not permit our AI vendors to use your content for model training under our agreements.
AI processing
Anthropic (Claude): Documents, case details, timeline entries, and evidence summaries you provide are sent to Anthropic's API for analysis, chat, and document drafting. Under Anthropic's standard API terms, your data is not used to train AI models. Anthropic may retain API inputs and outputs for a limited period for safety and abuse monitoring purposes — see their privacy policy for current retention details. We are actively working toward additional data protection agreements as our usage grows.
Replicate (Whisper): Audio and video files you upload are transcribed using Replicate's hosted Whisper API. Replicate does not retain inputs or outputs after a prediction completes — your recordings are deleted from their infrastructure immediately after transcription. Only the resulting text transcript is stored in Vera and used for analysis. Replicate's data handling is subject to their privacy policy.
What is never sent to AI vendors: Your Stripe payment information is never sent to AI systems. Your Clerk account credentials are never sent to AI systems. Error reports sent to Sentry are scrubbed of all request data and case content.
We recommend uploading only documents directly relevant to your case.
Data storage and security
Case data is stored in a PostgreSQL database hosted on Neon (US East region). Uploaded files are stored in Vercel Blob private storage — files are not publicly accessible and require authentication to retrieve. Authentication is managed by Clerk. All data is encrypted in transit (TLS) and at rest.
Document files are stored with a unique identifier per upload, meaning each file has a distinct path in storage regardless of filename, preventing any cross-user file access.
Access to your documents is logged. We retain these access logs for security monitoring purposes.
Data retention
Your data is retained for as long as your account is active. You can delete individual cases (and all associated data) at any time from the case Settings tab. To delete your entire account, contact us at the email above.
Your rights
You have the right to access, export, or delete your personal data at any time. To request a full data export or account deletion, contact us. We will respond within 30 days.

Changes
We may update this policy from time to time. We will notify you by email if we make material changes. Continued use of Vera after notice constitutes acceptance.
